The scan opens the phoneβs mail app with your address in the To field. The sender only has to write and send.
Add a subject line like "Quote request" and a first line of text so replies arrive sorted and easy to answer.
Nobody mistypes a long address from a poster. What you entered is what they send to.
Print it where people already have a question: a service leaflet, a product manual, a table tent or a shop window.
An email QR code encodes a mailto: link (your address, and optionally a subject line and message body), so scanning it opens a new message in the person's email app with everything ready to send. It removes the need to type an address correctly on a small phone keyboard.
Because it is a mailto link and not a form, nothing is sent automatically. The person scanning still reviews and taps send themselves, which keeps the interaction transparent and avoids surprise messages going out on someone's behalf.
A mailto QR code hands the conversation over to the visitor's own email app, which means it works even if your website is down, and it does not depend on a web form staying online or a spam filter letting the submission through. The tradeoff is that you get whatever the sender chooses to write, with no required fields. A contact form can force someone to include an order number or a phone number before it lets them submit, while a mailto link cannot.
For simple, low-volume contact, such as a support address or a general inquiry line, a mailto QR code is usually the better fit because it is instant to set up and needs no backend at all. For structured intake where you need specific fields every time, a proper form is worth the extra setup.
Pre-fill the subject line whenever the QR code has a specific purpose. Something like "Website feedback" or "Order #inquiry" makes incoming messages easy to sort and route, especially if more than one person checks the inbox.
Keep the pre-filled message short, and write it as a prompt rather than a finished sentence: "Please describe the issue here:" works better than a paragraph the sender has to delete before writing their own message. Spaces and punctuation in the subject and body are encoded into the link, and every character makes the pattern denser, so keep the two fields under about 100 characters combined.
Test a printed proof with an iPhone and an Android phone. iOS opens the Mail app or whichever mail app is set as default; Android may ask which app to use if more than one is installed, which is normal and not a fault in the code.
Remember that scanning never sends anything by itself; the recipient's email app opens a draft they still have to review and send. Do not word your call to action as "send us a message and we'll get back to you instantly". Say "tap to open an email" instead, since that is what actually happens.
If you also want a way for people to call you directly, pair this with the phone number QR code generator. For a full digital business card with your name, phone, and email in one scan, use the vCard QR code generator instead. If you need a version with your logo and brand colors, the custom QR code design studio supports the same email format with full visual control.
No. The code is a static image that stores a mailto link with your address, subject and message text, and it scans the same way indefinitely. If your email address changes, generate a new code; the old one still opens a message, just to the wrong inbox.
No. Enter your address, generate the code, and download it. There is no sign up.
Their phone opens its default email app with a new message already addressed to you, and the subject and body filled in if you set them. They still have to tap send; scanning never sends anything by itself.
Yes. Both are optional fields in the generator. A pre-filled subject like "Feedback from in-store visit" or a short pre-written message can save the sender time and give you consistently formatted messages to sort through.
The scan will fail to open anything useful, or open a blank compose screen with no account attached. This is uncommon but happens on shared devices or phones without a default mail app set. Print the address as text next to the code so those people can still write to you.
The code removes typing errors and pre-fills the subject line, which helps when you want structured requests such as support tickets or RSVPs. Print the address as text alongside the code as a fallback for anyone who cannot scan.
